Licenses

The license module brings all software licenses together — synced automatically from Microsoft 365, Google Workspace and Adobe Creative Cloud, recorded manually for everything else. The Overview tab consolidates all sources into a single cost view.

Connecting Microsoft 365 (administrator)

What you need

  • An app registration in Microsoft Entra ID with the application permission Directory.Read.All (Microsoft Graph) and admin consent granted
  • From it: the directory (tenant) ID, application (client) ID and a client secret

How to set up the connection

  1. Open Administration → Integrations → Microsoft 365 — the wizard includes step-by-step guidance for the app registration.
  2. Enter the directory ID, application ID and client secret.
  3. Choose the attribute for cost-center mapping (e.g. department, office location, company name): Contrixt uses the value of this Entra user attribute to assign licensed users to cost centers.
  4. Save — Contrixt verifies the connection to Microsoft Graph — and click Sync now.

How to check that everything works

After the first sync, the Microsoft 365 tab shows the licenses (SKUs), the licensed users and the last sync time. From then on Contrixt refreshes automatically every day; Sync now triggers a manual refresh at any time.

Free licenses (free, trial and viral SKUs such as "Power Automate Free") are automatically skipped during sync so they don't clutter the overview.

Maintaining prices

Microsoft doesn't deliver prices — enter the price/month per SKU once (your purchasing terms). From this Contrixt calculates cost/month, cost per cost center and the savings potential.

Cost center mapping

Users are assigned via the value of the mapping attribute: you define rules like “department = IT Operations → cost center IT-1000”. Values not yet mapped are shown prominently on the dashboard so no costs remain orphaned.

Connecting Google Workspace (administrator)

What you need

  • A service account with domain-wide delegation (scopes: Admin SDK Directory readonly, License Manager readonly)
  • An admin user for impersonation and the customer ID

How to set up the connection

In the wizard under Administration → Integrations → Google Workspace, enter the customer ID, admin email and the service account JSON key, choose the mapping attribute (e.g. org unit, department, cost center) and save. Connection check, first sync and daily refresh work as with Microsoft 365.

Purchased quantities

Google doesn't deliver purchase quantities — “purchased” equals the number of assigned licenses there. Prices are maintained per SKU as with Microsoft.

Connecting Adobe Creative Cloud (administrator)

What you need

  • Access to your organization's Adobe Developer Console
  • A project with the User Management API and a Server-to-Server credential
  • From it: the organization ID (ending in @AdobeOrg), client ID and client secret

How to set up the connection

  1. In the Adobe Developer Console, create a project and add the User Management API with a Server-to-Server credential.
  2. Open Administration → Integrations → Adobe Creative Cloud and enter the organization ID, client ID and client secret.
  3. Choose the attribute for cost-center mapping (Adobe user group or country).
  4. Save — Contrixt verifies the connection — and click Sync now.

How to check that everything works

After the first sync, the Adobe Creative Cloud tab shows the product profiles as licenses (with quota and usage) and the users with their assigned profiles. From then on Contrixt refreshes automatically every day.

Maintaining prices

Adobe doesn't deliver prices — enter the price/month per product profile once. From this Contrixt calculates cost/month, cost per cost center and the savings potential.

Cost center mapping

Users are assigned to cost centers via their Adobe user group or country — just like with Microsoft 365 and Google Workspace. Automatic monthly booking can be enabled for Adobe Creative Cloud as well (see below).

Manual licenses

In the Manual tab you record licenses without an integration:

  • License (name) and vendor (e.g. Atlassian)
  • Purchased and assigned units plus the price/month
  • Cost center, application and contract — directly on the license

Editing and deleting happen inline in the table. Via the application assignment the costs flow automatically into the application cost structure.

Contractual basis

Every license — synced or manual — can be assigned to a contract. This documents the contractual basis of each license; the Overview tab shows the contract column across all sources.

Savings potential

Purchased but unassigned licenses with a maintained price yield the savings potential / month — a prominent KPI. The fastest way to cut license costs: cancel free licenses instead of buying new ones.

Optimization potential

Beyond the simple "unused purchased" metric, Contrixt analyzes every synced license for three kinds of findings:

  • Unused — purchased but assigned to nobody.
  • Inactive — assigned to users who haven't signed in for at least 90 days.
  • Disabled accounts — assigned to locked or disabled user accounts.

The Optimization potential card on the Overview tab shows the savings potential per month and year, plus, for each affected license, the number of unused, inactive and disabled assignments. Inactive and disabled users can be expanded to show name, username and last sign-in (or "never").

Sign-in data for Microsoft 365

To detect inactive users, the app registration needs the AuditLog.Read.All permission (Microsoft Graph, with admin consent) in addition to Directory.Read.All. Without it, Contrixt shows only the inventory findings for Microsoft 365 — unused and disabled, no inactivity analysis.

The recommendation is a decision aid, not an automatic cancellation — you decide per license whether and when to release unused, inactive, or disabled-account assignments.

Automatic monthly booking

Administrators can configure each integration to record license costs automatically on the last day of the month as actual bookings — per cost center according to the user assignment. Enable the Automatic monthly booking card on the provider tab and choose the category for the bookings; optionally a cost center for unassigned users. The bookings appear under Bookings with the source License.
