MSP mode (managed customers)
With MSP mode, you manage the IT budgets of multiple customers as a service provider under a single login — each customer as its own tenant with full data separation.
Overview
With the MSP subscription, you manage any number of sub-customers as their own tenants in Contrixt — each with its own subdomain (e.g. customer-a.contrixt.com) and the same strict, database-level tenant isolation as any regular tenant. The MSP plan includes 10 customer tenants; additional customers can be added on request.
Creating customers
In the MSP console, you create new customers:
- Open the MSP console and click New customer.
- Enter the customer's name and subdomain — availability is checked live.
- The new tenant starts immediately with the default budget categories and the current fiscal year — ready to use without further setup.
You invite end-customer users as usual via Users & roles — they receive their own login and can subsequently sign in to the customer tenant themselves, independently of your MSP access. There, they work in view-only mode: you as the MSP maintain the data, the end customer views it and approves project budgets and recharges.
Switching into a customer
From the MSP console, you switch into a customer's context with one click. A persistent context bar shows at all times which customer tenant you're currently working in, and takes you back to the MSP level with one click.
Every switch is logged — both in the audit log of the MSP tenant and in the audit log of the respective customer. This keeps a complete record of who accessed which customer and when.
Assignments & roles
MSP administrators automatically have access to all your customers. For other staff, you assign access per customer and grant a role there — exactly as with a single tenant. This way, for example, support colleagues only see the customers they're responsible for. In addition to the assignment, you choose a functional role for each one — see Role model for MSP staff.
Role model for MSP staff
When assigning a staff member to a customer in customer management, you also choose a functional role. It determines which console tabs and forms the staff member sees, and whether they switch into the customer read-write or read-only:
- Key Account — handles the assigned customers' day-to-day work: IT roadmap, technology assessments, project budgets, quarterly reviews and billing drafts. Switches into the respective customer read-write.
- Finance — responsible tenant-wide for billing — both creating and releasing it — as well as the price book, customer terms and prices. Sees all customers, but switches into their tenants read-only.
- Technician — works hands-on in the assigned customers, but has read-only console access in the customer tenant.
- Viewer — read-only access to the assigned customers, with no editing capability.
Releasing a billing run remains deliberately reserved for Admin and Finance: a Key Account can prepare billing drafts, but releasing them requires a second, authorized person as a four-eyes check.
Consolidated views
The MSP console overview brings together all customers at a glance:
- Budget utilization per customer
- Cancellation radar across all customer tenants
This means you don't have to check contract deadlines and budget status customer by customer.
PSA & RMM integrations
Under MSP console → Integrations, you connect Contrixt to your PSA and RMM systems and pull tickets, billable hours and device inventory automatically into customer management.
ConnectWise Manage and Autotask (both PSA) read companies, service tickets and time entries from the last 90 days. During sync, Contrixt automatically matches new companies to one of your customer tenants by name; you can correct the assignment manually in customer management at any time. Tickets and billable hours then appear per customer in the new Tickets area.
Datto RMM reads each customer's sites and device inventory — hostname, device type, operating system and online status — into the new Devices area.
During setup, you provide the credentials for your provider account for each system:
- ConnectWise Manage — Company ID plus the public and private key from your ConnectWise API access.
- Autotask — API user, integration code and secret from your Autotask API access.
- Datto RMM — API URL, key and secret for your Datto RMM platform.
Contrixt stores the credentials encrypted and tests the connection when you save; you then trigger the data sync manually at any time via Sync. Multiple instances per system can be set up if needed, for example for separate PSA tenants. The integrations are included in the MSP plan.
In the monthly billing run, you add ticket hours and device flat rates directly as line items: the hourly rate for PSA hours comes from the price book and reflects customer-specific terms; device flat rates from the RMM inventory are charged at the flat rate on file in the price book.
Billing export
For your own customer invoicing, you export per customer and period as CSV:

The export forms the data basis for invoicing each end customer.
Recharging & margin
As an MSP, assign your own supplier contracts to a specific customer to automatically pass them on to that customer's tenant with your margin added.
The MSP tenant's contract form includes a Recharging field group for this:
- Customer — select the tenant the contract should be assigned to.
- Markup in % — your percentage markup on the purchase price.
- Fixed recharge price — optional, takes precedence over the markup if you'd rather charge a fixed amount.
Once a contract is assigned to a customer, it automatically appears in that customer's tenant — from the customer's perspective, with you as the provider and the recharge price as the amount. Changes to the original contract, as well as its deletion, are carried over automatically.
In the MSP console, Billing shows a recharging overview per customer with monthly purchase cost, recharge amount and margin. The CSV billing export adds a recharging block per contract with purchase cost, markup, recharge price and margin.
Contracts without a customer assignment remain purely internal MSP contracts.
Billing runs & price book
Under MSP console → Prices, you maintain your default markup, the price book for your own services and hourly rates, license sale prices per SKU, and customer terms (cloud and license markup, discount per customer). A margin alert flags customers below your target margin.
Flat rates — for example a managed workplace price per user — are set up per customer; the quantity can automatically follow the customer tenant's active user count.
Also under Prices, you assign centrally purchased licenses — Microsoft 365, Google Workspace, Adobe, or manually recorded ones — to individual customers in partial quantities, with a quantity and a recharge price (percentage markup or fixed recharge price; the fixed price takes precedence). At the customer, the assignment appears as a mirrored, non-editable license "from your IT partner" at the recharge price on file.
Under Billing, you generate a billing run per customer and month: it freezes contracts, flat rates, licenses — including assigned license quantities with their purchase cost, sale price and margin, without double-counting the customer's other licenses — and cloud costs at your current sale prices; you can add your own line items.
Releasing a billing run assigns a sequential invoice number; the resulting PDF serves as an invoice draft for your accounting — it is not an invoice in the legal/tax sense.
All customer invoices for a period can be exported as a ZIP.
E-invoice for billing runs
Under MSP console → Billing, the card "Invoicing party (e-invoice)" lets you store your details as the invoicing party: VAT ID, street, postal code, city and country (2-letter code, e.g. DE). This information is included in the e-invoice of your billing runs.
For every approved billing run (with an assigned invoice number), a link "E-invoice (XML)" is available next to the usual PDF download — it provides the billing run as a structured CII XML file per EN 16931, e.g. for further processing in your customer's accounting system.
vCIO & quarterly reviews
As a vCIO, Contrixt delivers data-driven advisory material straight from your budget data — no extra tools required. In the customer list of the MSP console, you see each customer's health score at a glance: a metric that condenses budget discipline, contract risk and other signals into a single traffic-light rating.
Within an individual customer's management area you also find:
- Roadmap — the customer's planned IT initiatives with a time horizon, which you use as the basis for prioritization discussions.
- Technology assessment — a questionnaire with a traffic-light rating per topic area, from which an overall score and a budget recommendation for the next period are derived.
- QBR report — generate the quarterly business review as a PDF with one click; it includes key metrics, roadmap status and assessment results in presentation-ready form.
Hardware refresh planning under MSP console → Refresh evaluates the depreciation data on file and shows which devices across all customers are approaching the end of their useful life — a basis for timely replacement purchasing.
Under MSP console → Benchmark, you compare your customers against each other within your own portfolio, for example IT cost per user against the median of your own customer base — without exposing any individual customer's data to other customers.
Management summary in the QBR report
The quarterly business review (QBR) now opens with an automatically generated management summary: a board-ready one-page overview of the key figures — IT costs, health score, identified savings potential and upcoming deadlines — together with the most important recommendations. This lets you present the report directly in customer meetings without further preparation.
Customer portal
Managed end customers work in Contrixt in a pure view-only mode: all data you maintain for them as the MSP — contracts, budgets, licenses and more — is visible to them at all times; only you, the MSP, make changes. There is no first-run setup tour in managed customer environments — as the MSP, you handle setup centrally via onboarding templates.
After logging in, the end customer lands directly on the IT Partner portal page. It shows at a glance the number of open decisions, key cost metrics — actual vs. budget for the current year, monthly license costs and active contracts —, the cancellation and renewal deadlines for the next 90 days, and the critical findings from the latest technology assessment. It also brings together the IT health check with a traffic-light rating per topic area, the IT roadmap with the activities planned for them, and the project budgets you've proposed or committed to as their service provider.
When you, as the MSP, propose or firmly commit a budget for a project, the end customer sees the proposal in their customer portal and approves or declines it — they can leave a comment when doing so, which you as the MSP see in customer management; you can see the approval status there at any time.
Every recharge you create for the customer is visible in the customer portal with every line item and can be downloaded as a PDF. Once the customer confirms the recharge, you as the MSP automatically receive a notification that you can proceed with billing it. The QBR report you generate can likewise be downloaded by the customer directly in the portal as a PDF.
The end customer's admin area is limited to Subscription & billing; all configuration pages are maintained exclusively by you, the MSP.
Online payment in the customer portal
Under MSP console → Billing, add your own Stripe secret key to let your end customers pay approved recharges online. Once a recharge has been approved and confirmed by the customer, they see a Pay online now button in the customer portal and can pay directly by card — the billing run is then automatically marked as paid, and you receive a notification as the MSP. Without a key on file, payment continues to be handled outside Contrixt as before.
Scaling & white label
For running many customers efficiently, the MSP console offers several scaling tools. When creating a customer, you can optionally select an onboarding template: it pre-populates cost centers, budget categories and flat rates, so a new customer starts immediately with your standard setup. For demos and testing, you can also create a demo customer with sample data in one click.
The central activity feed brings together key events across all customers, so you no longer need to open every customer tenant individually. Consolidated license and cloud dashboards likewise show license and cloud costs bundled across all customers.
For your team, you set up technician access: staff with this assignment see only the customers assigned to them — not your entire customer base.
Under Prices, you enable white label: enter your own brand name and brand color, which then appear in your end customers' portal instead of "Contrixt" — including the customer portal approvals for project budgets and recharges. If the 10 customer tenants included in the MSP plan aren't enough, you can add extra sub-customer capacity on request.
Pausing & deleting
- Pause blocks access to the customer tenant immediately — all data is fully retained, and access can be re-enabled at any time.
- Delete permanently removes the customer tenant and its data; this step cannot be undone.
